Jaipur National University consolidated multi-faculty academic operations onto Sonet's UniSCOP platform, and automated its School of Distance Education and Learning (SODEL) — one of the university's largest and most operationally complex divisions.
Jaipur National University's School of Distance Education and Learning (SODEL) was established in the 2008-2009 academic year to meet growing demand for quality distance education. The initiative gained real momentum in September 2009, when SODEL received formal approval from the Distance Education Council (DEC) and the Joint Committee of AICTE-UGC-DEC to offer a range of undergraduate and postgraduate programmes through distance learning — alongside the university's continued growth across its other, campus-based faculties.
The Challenge
Multi-Faculty Academic Fragmentation
As a large multidisciplinary university, JNU's faculties tracked admissions, academics and examinations through largely independent processes, making university-wide reporting a manual compilation exercise rather than something leadership could see in real time.
Study Centre Coordination at Scale
Despite SODEL's promising start, coordinating with multiple study centres across various locations became increasingly complex, leading to inefficiencies and communication gaps between the centres and SODEL's central administration.
Fee Collection Issues
Collecting fees from students, particularly from distant study centres, was fraught with delays and lacked transparency, complicating financial management and making it hard for SODEL to reconcile what each centre had actually collected.
Examination Management Across Centres
Conducting examinations and managing student enrolment across different study centres posed significant logistical challenges, leading to delays and errors that affected students waiting on results and certification.
Historical Data Migration
The need to migrate previous years' examination data and generate accurate marksheets for continuing students was a daunting task that required a robust, reliable system rather than a one-off manual data transfer.
Our Solution
University-Wide UniSCOP Rollout
UniSCOP was deployed across JNU's faculties to unify admissions, academics and examinations onto one platform, giving university administration a consolidated view previously assembled by hand from individual faculties.
Dedicated Study Centre Portals
For SODEL specifically, each study centre was given its own login, enabling it to enrol students seamlessly into the university system rather than routing every enrolment through central administration.
Automated Fee Collection System
An online and offline payment gateway allowed for smooth collection of registration fees, with tuition and examination fees collected programme-wise and deposited directly into university accounts — enhancing financial transparency across every study centre.
Examination Enrolment & Bulk Admit Cards
Study centres could enrol students for examinations through an online portal, simplifying the process and reducing manual errors, while bulk admit card generation let cards be distributed efficiently so students were properly prepared for their exams.
Centralized Marksheet & Degree Distribution
Marksheets are now generated centrally for each study centre and delivered to students consistently, incorporating migrated historical data so past records remain accurate and accessible. Degree distribution was simplified as a result, reducing delays so graduates receive their certifications in a timely manner.
Centralized Control for the University
The system gave JNU better control over study centres through proper channelization of processes, simplified student-data access with a single click for university administration, and comprehensive examination management end-to-end — from course registration through to marksheet generation.
